How to create an invoice
- Enter your business name and contact details (saved automatically for next time).
- Add the client's name and details.
- Set the invoice number, date, and due date. Numbers should be sequential; the Reset button increments it for you.
- Add line items with a description, quantity, and rate. Amounts and totals calculate as you type.
- Add tax, a discount, or shipping if needed, and note any amount already paid.
- Click Print / PDF and choose *Save as PDF* in the print dialog. The preview on the right is exactly what prints.
What every invoice should include
- The word Invoice and a unique invoice number (required for bookkeeping and often for the client's accounts-payable system).
- Your business name, address, and contact information; your EIN or tax ID if the client requests it.
- The client's name and billing address.
- Invoice date and payment due date (or terms such as *Net 30*).
- Itemized description of goods or services, quantities, unit prices, and line totals.
- Subtotal, taxes, discounts, and the total amount due.
- Payment instructions: accepted methods, bank details or payment link, and any late-fee policy.
Payment terms that get you paid faster
Studies of small-business invoicing consistently find that shorter, clearer terms get paid sooner. Net 15 or due on receipt beats Net 30; stating a specific due date beats stating terms; and offering a small early-payment discount (2% if paid within 10 days) or a modest late fee (1.5% per month is common and legal in most states) both measurably shorten payment time. Sending the invoice the same day work is completed matters more than any of these.
Sales tax on invoices
Whether to charge sales tax depends on your state and what you sell. Most states tax physical goods; many exempt most services. If you're required to collect, enter the rate in the Tax field and it applies after any discount. The sales tax calculator lists current rates by state. Freelancers providing services across state lines usually don't charge sales tax, but check your state's rules.
Privacy
This tool runs entirely in your browser. Nothing you type is uploaded or stored on a server; details persist only in your own browser's local storage so your next invoice starts pre-filled. Clear your browser data to erase them.

How do I save the invoice as a PDF?+
Click Print / PDF, then in the print dialog choose 'Save as PDF' (Chrome, Edge) or use the PDF option in the lower-left of the Mac print dialog. Only the invoice preview is included; the form and site navigation are hidden.
Can I add my logo?+
Not in this version. Type your business name and it's rendered in the invoice heading. Logo upload is on the roadmap.
How should I number invoices?+
Sequentially and never reused. Many businesses start at 1001 so early invoices don't look like the first. Some prefix with the year (2026-001). Pressing Reset keeps your details and bumps the number.
Is my client data stored?+
Only in your browser's local storage, on your device. It's never transmitted to us.
